Sentence formation is the foundation of all drafting and written communication. A sentence is a group of words arranged in a meaningful order to express a complete thought. In English, effective sentence formation is essential because it ensures clarity, correctness, and coherence in communication. Poorly formed sentences can confuse readers, while well-structured sentences make communication professional, precise, and impactful.

In drafting, sentence formation requires attention to grammar, word order, agreement, and punctuation. Every sentence must have:

1. A Subject - who or what the sentence is about.

2. A Predicate - what is said about the subject (usually contains a verb).

3. A Complete Idea - so that the sentence stands alone and makes sense.

 

Types of Sentences

1. Simple Sentence: Contains one subject and one predicate.

Example: The engineer designed a new machine.

2. Compound Sentence: Contains two or more independent clauses joined by conjunctions.

Example: The students completed the project, and they submitted it on time..

3. Complex Sentence: Contains one main clause and one or more subordinate clauses.

Example: The manager approved the plan because it was well-prepared.

4. Compound-Complex Sentence: Contains two or more independent clauses and one or more subordinate clauses.

Example: The company launched a new product, and customers praised it because

it was innovative.

 

Rules of Good Sentence Formation

• Ensure subject-verb agreement (e.g., He writes every day, not He write every day).

• Use proper word order in English (Subject+ Verb + Object).

• Avoid fragments (incomplete sentences).

• Maintain clarity by avoiding unnecessary words.

• Use correct punctuation to mark pauses and complete thoughts.

Sentence formation is the building block of drafting skills. By mastering simple and complex sentence structures, students can draft professional emails, reports, circulars, and proposals effectively. Correct sentences reflect clarity of thought, command over language, and professional discipline,

 

Examples of Sentence Formation (Correct vs. Incorrect)

1. Simple Sentence

Incorrect: Team report submitted.

Correct: The team submitted the report.

2. Compound Sentence

Incorrect: Engineer designed circuit technician tested.

Correct: The engineer designed the circuit, and the technician tested it.

3. Complex Sentence

Incorrect: Manager approved proposal it was detailed.

Correct: The manager approved the proposal because it was detailed.

4. Compound-Complex Sentence

Incorrect: Students prepared presentation teacher appreciated it was researched.

Correct: The students prepared the presentation, and the teacher appreciated it since it was well-researched.

5. Corporate Politeness

Incorrect: Send me details fast.

Correct: Could you please send me the details at the earliest?

6. Email Context

Incorrect: Writing inform rescheduled meeting Friday.

Correct: I am writing to inform you about the rescheduled meeting on Friday.

7. Subject-Verb Agreement

Incorrect: The documents is ready.

Correct: The documents are ready.

8. Clarity and Precision

Incorrect: Yesterday meeting project discussed manager.

Correct: The manager discussed the project in yesterday's meeting.

9. Professional Tone

Incorrect: Boss angry project delay.

Correct: The manager was upset about the project delay.

10. Polished Business Sentence

Incorrect: Find attached minutes.

Correct: Please find attached the minutes of the meeting for your reference.
