What is a Policy Document?

Whenever one initiates a new enterprise or launches a startup business, it is started with a purpose. A Policy Document can be said to be the formal written document or the blue print of the organization. The principles and rules to be adopted, the scope of the work, the responsibilities involved, standards expected, dress code are clearly elaborated in this document.

A carefully designed policy document helps an organization in a smooth and systematic manner.

It helps to build consistency and trust among the employees, customers and partners.

It helps during recruitment, increments, work allocation or accidents in the workplace, etc. help the organization during auditing.

It helps to reduce time consumption but at the same time improve efficiency.

It helps a new recruit understand the values and standards of the organization enabling everyone to adhere to them from the beginning.

Step by step method for creating a policy document

• Identify the purpose or need for creating a policy document.

• Identify who will be the coordinator.

• Collect information with all stakeholders.

• Draft policy and monitor and edit it carefully.

• Finalise the policy

• Implement carefully.

Example

Policy document related to a University:

University Policy Category: Admission

1. Admission Requirements

• Minimum qualification: 70+ in higher secondary

• Interest in extra-curricular activities

• Based on quota - disability, etc.

2. Admission Process:

• Submission of application deadline

• Registration Fees

• Submission of Mark list deadline

3. No of seats to be filled in each branched

• As per AICTE Norms

4. Entrance Examination:

• The Joint Entrance Examination and the Counseling will be as per UGC, AICTE & Government Notifications. If the Common Entrance Examination is not conducted, admission will be based on the qualifying examination. Having the entrance exam and counselling been called for does not necessarily mean acceptance of eligibility. It is the responsibility of the candidates to ascertain whether they possess the requisite eligibility for admission.
